On Pointe Photography ("we", "us") is a dance photography and videography business run by Steve McCrum, based in Tamworth, Staffordshire. This policy explains what personal information we collect, why, and how we look after it.

We are the "data controller" for the information described here, and we are registered with the Information Commissioner's Office (ICO), registration number C2049856.
What we collect
When you contact us or ask about a booking
Your name, email address, phone number, dance school name, show or shoot dates, venue, and anything you write in your message.
When you order a video or photos
Your name, email address, billing details, and the information you give us so we can find the right footage, such as your dancer's name, dance school, routine number, genre, age group and class. We don't see or store your full card details. Video orders are paid through Stripe or PayPal, and photo orders through Stripe, which handle your payment securely.
When a dance school books us
The school's contact name, email, phone number and address for invoicing. Schools pay by bank transfer, so we also receive the payer's name and bank reference.
Photos and videos
We photograph and film dancers at shows, competitions and photo shoots. These images are personal information, and many show children.
Marketing
If you tick the box to hear from us, we keep your email address so we can send you news about photo shoots, new services and offers.
Website visits
Our website host, Squarespace, collects basic technical information such as your device, browser and the pages you visit, using cookies. You can block or delete cookies in your browser settings.
How and why we use it
Reply to enquiries and arrange bookings: To take steps you've asked for before entering a contract
Process orders and deliver photos and videos: To fulfil our contract with you
Photograph and film shows, competitions and shoots: To fulfil our contract with the dance school, event organiser or you
Show selected images in our portfolio, website and social media: Our legitimate interest in showing our work (see "Children's images" below)

We never sell your personal information.
Children's images
Most of the dancers we photograph and film are children, so we take extra care:
Show videos are only made available to the families of the dance school concerned. They're sent by WeTransfer, and shared as an unlisted YouTube link that can only be viewed by people who have it. They are never listed publicly.
Show photo galleries are password-protected and shared only with the school's families.
Competition videos are only sent to the person who ordered them.
We ask families not to share show videos or post them publicly.
If we use an image of a child in our portfolio, website or social media, we never name them or their school without permission.
If you'd like an image of your child removed from our website or social media, email steve@on-pointe.co.uk and we'll take it down promptly.
Who we share information with
We only share what's needed, with trusted services that help us run the business:
Squarespace: website, online store and order emails
Studio Ninja: our booking and client management system, which receives contact form enquiries
ShootProof: online photo galleries and photo orders
WeTransfer: video delivery
YouTube (Google): unlisted show videos
Stripe and PayPal: card and PayPal payments for video orders (through Squarespace) and photo orders (Stripe, through ShootProof)
Our bank: dance schools that book us pay by bank transfer
Dance schools and event organisers: where they've booked us, for example sharing gallery links with their families
Our accountant and HMRC: for tax records
Some of these services store data outside the UK. Where they do, they use approved safeguards, such as the UK International Data Transfer Agreement or standard contractual clauses.
How long we keep it
Enquiries that don't lead to a booking: up to 12 months
Orders and bookings: 6 years, for tax and accounting
Competition video downloads: the WeTransfer link expires after 30 days
Show videos: the WeTransfer download link lasts 12 months. The unlisted YouTube link stays available so families can keep watching. If you'd like a show video taken down, just ask.
Competition photo galleries: open for around 4 weeks after the event, and always over at least one end-of-month weekend. We keep the original photo files for longer so families can still order, and we review and delete older files regularly. If you'd like an image deleted sooner, just ask.
Competition video footage: videos can be ordered for 3 weeks after the event. We delete the footage 2 weeks after orders close, about 5 weeks after the event.
Marketing list: until you unsubscribe
Your rights
Under UK data protection law you can ask us to:
give you a copy of the personal information we hold about you
correct anything that's wrong
delete your information
stop or limit how we use it
object to us using it, including for marketing
transfer it to you or another organisation

If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Keeping your information safe
We use password-protected galleries, secure payment processing, and reputable services with strong security. Access to client information is limited to Steve.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page.
